Terms of Service

1. Acceptance of Terms
By accessing or using Credana (the "Service"), operated by Mindstar LLC ("we," "us," or "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.
These Terms constitute a legally binding agreement between you (the individual or entity registering an account) and Mindstar LLC. Your use of the Service is also governed by our Privacy Policy, which is incorporated by reference.
You represent that you have the authority to bind your practice or organization to these Terms. If you are accepting on behalf of your employer or another entity, you represent and warrant that you have full authority to bind that entity to these Terms.
2. Description of Service
Credana is an insurance credentialing management platform designed for mental health group practices. The Service provides tools to:
- Track provider credentials, insurance panel applications, and document expirations
- Generate AI-assisted summaries of credentialing documents uploaded by users
- Verify National Provider Identifier (NPI) numbers against the NPPES registry
- Monitor insurance payer directories to check provider enrollment status
- Access aggregated, anonymized credentialing timelines via the Carrier Truth Database
- Send automated email alerts for upcoming credential expirations
- Provide a secure upload portal for providers to submit documents
The Service is provided on a subscription basis. We reserve the right to modify, suspend, or discontinue any feature or aspect of the Service at any time with or without notice.
3. Account Registration
To use the Service, you must create an account by providing accurate and complete information, including your practice name, your name, and a valid email address. You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activities that occur under your account, whether authorized or not
- Notifying us immediately of any unauthorized use or security breach
You may not share your account with others, sell or transfer your account, or use another person's account without permission. We reserve the right to suspend or terminate accounts that violate these Terms or are inactive for extended periods.
You must be at least 18 years old to create an account. By registering, you represent that you meet this age requirement.
4. Subscription & Billing
Free Trial: New accounts receive a 14-day free trial with access for up to 3 providers. No credit card is required during the trial. After the trial ends, you must subscribe to continue using the Service.
Pricing: Our pricing is based on the number of providers in your practice. The current rates are:
- Base subscription: $49 per month (includes up to 3 providers)
- Additional providers: $15 per provider per month
Billing: Subscriptions are billed monthly in advance via Stripe. By subscribing, you authorize us to charge your payment method on file each billing cycle. If a payment fails, we will attempt to charge your payment method again. Continued payment failures may result in service suspension or termination.
Refunds: All subscription fees are non-refundable. If you cancel your subscription, you will retain access to the Service until the end of your current billing period, but no refund will be issued for unused time.
Price Changes: We reserve the right to change our pricing at any time. We will provide at least 30 days' notice of any price increases. Your continued use of the Service after a price change constitutes acceptance of the new pricing.
Cancellation: You may cancel your subscription at any time through your account settings or by contacting support. Upon cancellation, your access will continue until the end of your current billing period.
5. Acceptable Use
You agree to use the Service only for lawful purposes. You may not:
- Violate any local, state, national, or international law or regulation
- Impersonate any person or entity, or falsely state or otherwise misrepresent your affiliation with a person or entity
- Upload or transmit viruses, malware, or any other malicious code
- Attempt to gain unauthorized access to the Service, other accounts, or computer systems or networks
- Use automated systems (bots, scrapers) to access the Service without our prior written permission
- Reverse engineer, decompile, or disassemble any portion of the Service
- Remove or obscure any proprietary notices or labels on the Service
- Use the Service to store or transmit Protected Health Information (PHI) as defined by HIPAA
- Interfere with or disrupt the integrity or performance of the Service
We reserve the right to investigate violations of these Terms and to cooperate with law enforcement authorities in prosecuting users who violate the law.
6. Intellectual Property
Our IP: The Service, including its software, design, text, graphics, logos, and other content (excluding user-uploaded content), is owned by Mindstar LLC and is protected by copyright, trademark, and other intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to access and use the Service for your internal business purposes in accordance with these Terms.
Your Content: You retain all ownership rights to the documents, data, and other content you upload to the Service ("User Content"). By uploading User Content, you grant us a limited license to store, process, and display that content solely to provide the Service to you. This includes:
- Storing documents in encrypted cloud storage (Supabase Storage)
- Sending documents to our AI provider (Anthropic) to generate summaries
- Displaying provider information, application status, and credentialing data in your dashboard
You represent and warrant that you have all necessary rights to upload User Content and that it does not infringe on any third party's intellectual property or other rights.
Carrier Truth Database: Any credentialing timeline data you contribute to the Carrier Truth Database will be anonymized and aggregated. You grant us a perpetual, irrevocable, royalty-free license to use this anonymized data to improve the Service and provide insights to all users.
7. AI Features Disclaimer
Credana uses artificial intelligence (AI) to parse and summarize credentialing documents uploaded by users. Documents are sent to Anthropic's Claude API via our AI Gateway for processing. Anthropic does not retain or use your documents to train their models.
AI-generated summaries are provided for convenience only and may contain errors, omissions, or inaccuracies. You are solely responsible for reviewing all AI-generated content and verifying its accuracy before relying on it for credentialing decisions.
We do not guarantee the accuracy, completeness, or reliability of AI-generated summaries. AI models can misinterpret documents, hallucinate information, or fail to extract critical details. Always review the original source documents.
By using the AI features, you acknowledge and accept these limitations and agree not to hold us liable for any decisions made based on AI-generated content.
8. Provider Directory Monitoring
Credana offers automated monitoring of insurance payer directories to check whether your providers appear as in-network. This feature:
- Uses a third-party browser automation service (Browserless.io) to scrape public payer directory websites
- Searches for provider names and NPIs to determine enrollment status
- May not detect all providers or may produce false positives/negatives due to inconsistencies in payer directory data or website changes
Directory monitoring results are informational only and should not be considered definitive proof of credentialing status. Always verify enrollment directly with the payer or through official credentialing verification services.
We do not guarantee the accuracy, timeliness, or completeness of directory monitoring results. Insurance payers may update their directories at irregular intervals, and website structures may change without notice, affecting our ability to retrieve data.
9. Data & Privacy
Your use of the Service is governed by our Privacy Policy, which explains how we collect, use, and protect your data.
Data Security: We implement industry-standard security measures to protect your data, including encryption at rest and in transit, role-based access controls, and regular security audits. However, no system is completely secure, and we cannot guarantee absolute security.
HIPAA Disclaimer: Credana is NOT a HIPAA-covered entity or business associate. The Service is designed to store provider credentialing data (names, license numbers, NPI numbers, employment dates, etc.), not patient health information. You agree not to upload any Protected Health Information (PHI) to the Service.
Data Portability: You may export your data from the Service at any time. Upon account termination, we will retain your data for 90 days to allow for retrieval, after which it will be permanently deleted.
Third-Party Services: The Service integrates with third-party providers (Supabase, Stripe, Anthropic, PostHog, Sentry, Resend, Browserless.io). Your use of these services is subject to their respective terms and privacy policies.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, MINDSTAR LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR USE, WHETHER IN AN ACTION IN CONTRACT, TORT, OR OTHERWISE, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE OR THESE TERMS, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
Our total liability to you for all claims arising out of or relating to the Service or these Terms shall not exceed the amount you paid us in the 12 months preceding the claim, or $100, whichever is greater.
Service "As Is": The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that defects will be corrected.
You acknowledge that credentialing decisions involve professional judgment and that the Service is a management tool, not a substitute for professional expertise. You are solely responsible for your credentialing decisions and compliance with all applicable laws and regulations.
11. Indemnification
You agree to indemnify, defend, and hold harmless Mindstar LLC, its officers, directors, employees, agents, and affiliates from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or in connection with:
- Your use of the Service
- Your violation of these Terms
- Your violation of any third-party rights, including intellectual property rights
- Your User Content
- Any credentialing decisions you make based on information from the Service
We reserve the right to assume the exclusive defense and control of any matter subject to indemnification by you, in which case you agree to cooperate with our defense of such claim.
12. Termination
By You: You may cancel your subscription and terminate your account at any time through your account settings or by contacting support at support@credana.app. Cancellation takes effect at the end of your current billing period.
By Us: We may suspend or terminate your account at any time if:
- You violate these Terms
- Your payment fails and you do not update your payment method
- Your account is inactive for more than 12 months
- We discontinue the Service or are required to do so by law
We will provide reasonable notice before terminating your account, except in cases of material breach or legal requirement. Upon termination:
- Your access to the Service will immediately cease
- You will have 90 days to export your data before it is permanently deleted
- All fees owed to us through the termination date become immediately due
Sections of these Terms that by their nature should survive termination (including intellectual property, indemnification, limitation of liability, and dispute resolution) will remain in effect after termination.
13. Dispute Resolution
Governing Law: These Terms are governed by the laws of the State of California, without regard to its conflict of law provisions. Any dispute arising out of or relating to these Terms or the Service shall be resolved in the state or federal courts located in San Francisco County, California, and you consent to the exclusive jurisdiction of those courts.
Informal Resolution: Before filing a claim, you agree to contact us at support@credana.app to attempt to resolve the dispute informally. We will make reasonable efforts to resolve disputes in good faith.
Class Action Waiver: You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action. You waive the right to participate in a class action lawsuit or class-wide arbitration.
14. Changes to Terms
We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by email or through a prominent notice in the Service at least 30 days before the changes take effect.
Your continued use of the Service after the effective date of the revised Terms constitutes acceptance of those changes. If you do not agree to the revised Terms, you must stop using the Service and cancel your subscription.
We will update the "Last Updated" date at the top of this page whenever we make changes. We encourage you to review these Terms periodically to stay informed of any updates.
